Electronic Invoicing
In a continuing effort to improve our invoicing process and provide you with enhanced electronic invoicing, some key changes will be introduced in
December 2009, based on customer feedback and suggestions.
For users that traditionally download, parse, and import the Electronic File into a preferred application, either manually or through automation, please be advised of the following changes:

1. REQUESTING ELECTRONIC FILES FOR MULTIPLE INVOICES

BEFORE:
Today, when a file is not ready for download, users must initiate a separate request for each month.
AFTER:
The enhanced process will allow users to select multiple invoices in a single request. |

2. FILE TYPE OPTION, PARSED VS. UNPARSED
| |
BEFORE:
Today, when a file is downloaded, it is saved to your designated location as a .DAT file, which is an unparsed, raw data file that can be opened as a text file. Most users however, elect to work with a formatted, parsed file. For this option, users must first parse the .DAT file using the USA Mobility E-Parse software.
AFTER:
The enhanced process will allow users to choose between Parsed and Unparsed.
The PARSED file option will download a file that has already been parsed and formatted by USA Mobility, thus ELIMINATING the extra step of parsing your Electronic Invoice AND the need for the E-Parse software. Once downloaded, you’ll still be able to import or convert the file into your application of choice.
The UNPARSED file option will download an Unparsed, raw data .DAT File |

3. ELECTRONIC FILE – NEW RECORD TYPES

BEFORE:
Today, the Electronic File consists of (6) Record Types; 01, 02, 20, 30, 40, 50
AFTER:
The enhanced process will include (2) additional, NEW Record Types; 32, 51
Record Type 32 will include the DETAIL-02 Record Type and the PRIOR PERIOD-30 Record Type transactions, combined. Using this record type will eliminate the need to manually combine Record types 02 (Detail Charge Transactions) and Record Types 30 (Prior Period Adjustment Transactions). This record type will be beneficial for customers who pay in full each month.
Record Type 51 will include details regarding Multi-Messenger Group Followers, Message Carbon Copy addresses, and Preferred Alias name for all applicable devices.
Multi-Messenger Group Followers and Message Carbon Copy addresses will be populated in Reference Field 1. When multiple followers/addresses exist, there will be a record for each follower/address.
Preferred Alias Name will be populated in Reference field 3. Although a device may have multiple Alias Names, only the Alias Name that is designated as the preferred Alias will be populated.
NOTE: If there are no Multi-Messenger Followers, MCC Addresses, or Alias names, these reference fields will be blank.

4. ELECTRONIC FILE - NEW FIELDS

The following fields, to be used primarily by USA Mobility will be included in the Electronic Invoice Header Record:
- EDI Process Name
- Country Zip Code
- Country Name
- Bill Customer Office Code
- Print Suppression Code
The following fields, to be used primarily by USA Mobility will be included in the Electronic Invoice Detail Record:
- Comment
- Contract Transaction Type
- A/R Invoiced Sort
- A/R Line Number
- Filler
